Privacy Policy
Effective November 5, 2026
This policy explains how Nearby Fulfillment LLC (“we”, “us”) handles information in our warehouse and client portal, the sign-in site you are using now. Our public website has its own policy at nearbyfulfillment.com/privacy-policy/.
Information we handle
- Account details. Name, work email, role, and sign-in security data. Passwords are stored only as one-way hashes, and two-factor secrets are encrypted.
- Sign-in and activity records. The time, IP address and browser of sign-ins, and a log of changes made in the system (who changed what and when). We use these to keep accounts secure and to resolve questions about inventory and billing.
- Business information our clients give us or that we create for them. Products and SKUs, inventory counts and locations, inbound shipments, orders, returns, invoices, messages, photos and documents such as contracts and insurance certificates.
- Information about our clients’ customers. Order recipients’ names, shipping addresses and, where provided, phone numbers and email addresses. This comes from the client or from a store or marketplace the client has connected, and we use it only to pick, pack, ship and track the order. We do not market to these individuals and we do not email them.
How we use it
To provide fulfillment, storage, prep and returns services; to run client accounts and billing; to keep the system secure and prevent misuse; to send service messages such as invoices, shipping updates and security codes; and to meet legal and accounting obligations. We do not sell personal information and we do not use it for advertising.
Who we share it with
Only the service providers needed to run the system, and only for that purpose:
- Application hosting and database (Railway) and file storage (Cloudflare).
- Email delivery (Resend) for invoices, notices and sign-in codes.
- Shipping software and carriers (such as ShipStation, UPS, USPS and FedEx) when a shipping label is created, which includes the recipient’s name and address.
- Stores and marketplaces a client connects, such as Shopify, from which we read orders and products at the client’s request.
- Professional advisers, and authorities where the law requires, or a successor if the business is sold.
Each client’s data is separated from other clients’ data. Clients see only their own account.
Cookies
We use one essential cookie to keep you signed in, and small preference cookies for appearance settings and two-factor setup. We do not use advertising or analytics cookies in this portal.
Security
Connections are encrypted in transit. Access is limited by role, sign-in requires two-factor verification, stored credentials for connected services are encrypted, and backups are encrypted. No system is perfectly secure. If we learn of a breach affecting your information we will notify affected clients as the law requires.
How long we keep information
While an account is active and afterwards for as long as needed to complete services, resolve disputes and meet tax and accounting rules. Order recipient details can be removed on a client’s request once they are no longer needed for those purposes. The change log is kept for security and accuracy.
Your choices
You can ask us to access, correct, export or delete personal information we hold about you, or about a customer whose order we handled. Where we hold customer details on behalf of a client, we may refer the request to that client. Contact us using the details below.
Children
This portal is for business use only and is not intended for anyone under 18. We do not knowingly collect information from people under 18.
Changes
We will update this page when our practices change and show the new effective date. For significant changes we will also tell clients through the portal or by email.
